Ecwid for Vend POS

With Ecwid’s application for the Vend point-of-sale solution, you will be able to sell your products via both online and offline channels. If you are an offline business entering into ecommerce, you can easily transfer product data from your Vend POS to your Ecwid online store and sync the data automatically. In case you’re an online business, you can import products from your Ecwid store into your Vend POS and start accepting orders in-person, too.

Vend POS integration is available to merchants in the USA, Canada, Australia, New Zealand, Japan, the United Kingdom, and many other countries around the globe. To get to know whether Vend operates in your country, contact the VendHQ sales team.

Start selling online with Ecwid (for existing Vend merchants)

To start selling online with Ecwid, you need to create an online store and authorize the Ecwid Cart app on Vend. After you connect your new Ecwid store with your Vend POS and upload the products from Vend, you will be able to track both online and offline inventory and sales.

To create an Ecwid store from your Vend account:

  1. Log in to your Vend account.
  2. In the side menu, navigate to Setup → Apps.
    You need to be on Pro plan or higher in Vend to have access to all the apps.
  3. In the list of apps find Ecwid and click the Find Out More button. You will be redirected to the landing page for Vend users.
  4. Click the Get Started button at the top of the page to register your new Ecwid store:

  5. Follow the configuration wizard to set up your store.

After you register your online store, you will get a free one-month trial of a special edition of Ecwid’s Business plan that supports POS – Business + POS. It is offered to all Vend merchants who sign up to Ecwid:

After the trial ends, you will need to subscribe to the Business + POS plan or higher in My Profile → Billing and Plans to continue using the integration. If you don’t, you will be downgraded to the POS Demo plan.

To get the trial Business + POS subscription, you should register with the link that is provided on the landing page for Vend users.

Now, after you have created your Ecwid store, you will need to link it with your Vend account.

To link your Ecwid store with your Vend account:

  1. From your Ecwid admin, go to Other Channels → Vend.
  2. Click Go!

  3. On the opened page, choose Yes, connect my store to Vend:

  4. Sign in to your Vend account:

  5. On the opened page, click Connect:

  6. After that, you will be redirected back to your Ecwid account. Check/edit and save your settings to finalize the setup:

You can link only one of your Vend registers to your Ecwid account.

After you authorize Ecwid’s app on Vend, the Ecwid Cart app will also appear in the Apps section in your Vend account:

Congratulations! Your new online store powered by Ecwid is connected with your Vend POS. Now you can select what products you want to sell online and upload them to Ecwid with a button click.

Connecting Ecwid with Vend POS (for existing Ecwid merchants)

If you already have an Ecwid store and now want to go offline and start using Vend as your point of sale system, you will need to create a Vend account and authorize Ecwid’s app there. After that, you will be able to select products for upload.

Plan availability: Unlimited.

To connect your online store with Vend POS:

  1. From your Ecwid admin, go to Other Channels → POS (or Other Channels → Vend; in this case, proceed to step 3).
  2. Scroll down to the Sell offline with Vend section and click Learn more:

  3. Click Go!

  4. On the opened page, choose your option: Yes, connect my store to Vend (if you have already created a new Vend account) or No, create a new Vend account:

  5. If you chose No, create a new Vend account, follow the link to create an account on the Vend registration page, then go back to your Ecwid admin and click Done, connect my store to Vend.
    Note that you will need to switch to a Pro plan or higher in Vend after your trial period is over to be able to use the integration. Please check Vend Help Center to learn more about the configuration process.
  6. Sign in into your Vend account:

  7. On the opened page, click Connect:

  8. After that, you will be redirected back to your Ecwid account. Check/edit and save your settings to finalize the setup:

Congratulations! Your Ecwid store is now connected with your new Vend POS account. Now it's time to select the products that you want to sell offline with Vend.

Synchronizing inventory and orders between Ecwid and Vend

Once you have linked your Vend account with your Ecwid store, the products are not imported automatically. This means that you need to select the Ecwid products that you want to upload to Vend (and vice versa, Vend products to upload to Ecwid). You can upload all the products or configure separate product lists for your online store and your physical shop.

Please note that product import is performed and set up in your Ecwid admin (and not in your Vend admin).

Before you import your products for the first time, you need to check and define the synchronization settings. You can do it on the Vend synchronization settings page that becomes available after the accounts are connected.

To change the synchronization settings:

  1. From your Ecwid admin, go to Other Channels → Vend.
  2. Click on the arrow next to your store name.
  3. In the dropdown menu, choose Vend settings:

  4. On the opened page, click Edit.
  5. Edit the synchronization settings if you need:

    You can set whether the sales made in Ecwid will be sent to Vend and whether the changes in price and inventory settings that are made in Vend will be synced for the same products in Ecwid. By default, all these settings are enabled.
  6. Click Save settings.

Now you will need to select and upload products from your Ecwid account into your Vend account (and vice versa).

Things to be aware of before the sync/import:

  • The tax configuration used in Vend should be the same in Ecwid (i.e., both set to tax exclusive).
  • The currency used in Ecwid should match the currency in Vend.
  • Vend requires both product name and SKU to be provided (and product variations should have unique SKUs).
  • Make sure that your current plan limit (both in Ecwid and in Vend) hasn't been reached in terms of product/category quantity.
  • If "Track Inventory for this product" is enabled in Vend for a product, stock control is also enabled in Ecwid after the import. If you don't want the stock control on for a product, please switch it off manually after import.
  • Once products are imported, stock control settings in both Ecwid and Vend are expected to be kept the same, i.e., both on or both off.
  • The low stock threshold is not set after the import, so you'll need to set it manually.
  • Brand information is not imported.
  • Composite products are not supported in Ecwid, so they cannot be imported.
  • In Vend, if the product has variants, the product quantity must be equal to 0, and the base product quantity for the product with variations in Ecwid should be equal to 0 to be imported into Vend.

To import products from Ecwid to Vend (or vice versa):

  1. Log in to your Ecwid admin.
  2. From your Ecwid admin, go to Catalog → Products and click Listed on Vend (or Other Channels → Vend Select your products):

  3. Click Upload Ecwid products to Vend or Upload Vend products to Ecwid:

  4. Tick one or more products to be imported. To import all the products, click the Upload all link:

    You can search products by their name or SKU.
  5. Click Add Products, and the import will begin.

You will see the imported products along with their sync status on the Products listed on Vend page in your Ecwid admin.

If you click End Listing on Vend, the selected products will not be deleted from your Vend account, but they will no longer be synced. Note that you will not be able to import the same product again as it will have the SKU that is already used. To upload and sync such products, the product copies either in Ecwid or in Vend need to be deleted and then re-uploaded.

The initial import transfers the following product properties (from Vend to Ecwid and vice versa):

  • Name
  • Description
  • SKU
  • Price
  • Whether the product is enabled or not
  • Categories (tags) (the limit is 75 categories per product)
  • Stock
  • Product options (no more than 3) and variations/variants (no more than 200)

You can also upload images from Vend into Ecwid (the images from Ecwid are not imported into Vend).

If later you create new products in Vend/Ecwid, they are not automatically added to Ecwid/Vend. You need to repeat the import procedure and choose these products for upload.

After your products are uploaded, they become synced on the Vend side. This means that changes made in the product details in Vend automatically appear for this product in Ecwid. Below you can find the rules for these updates.

Please note that changes made in the product details in Ecwid are not reflected in Vend. You can apply them manually if you need.

The following synchronization rules are applied to the products that are already synced:

Vend → Ecwid Ecwid → Vend
When a product is updated in Vend, its name, stock, SKU, and price are automatically updated in Ecwid (the description is sent from Vend to Ecwid only during the initial import).
We don't update the image because you may have an improved image version for the web.
We don't update the product image in Vend if you add a new image in Ecwid.
When a variant for a product is added in Vend, and the product is already synchronized with Ecwid, this variation is automatically added into Ecwid. When a new variation for a product is added to Ecwid, and the product is already synchronized with Vend, we don’t automatically add the new variant in Vend.
When a product is deleted from Vend, we don't delete it from Ecwid. You may still want this product to be available online. When a product is deleted in Ecwid, we don't delete it from Vend.
When a product is deactivated in Vend, we unpublish it in Ecwid.
When a product is enabled in Vend, we activate it in Ecwid.
When a product is disabled in Ecwid, we don't deactivate it in Vend.
When a product is enabled in Ecwid, we don't activate it in Vend.
When an item is sold in Vend, the stock is automatically updated in Ecwid.
We don't add Vend orders into Ecwid; they are kept separate.
When an item is sold in Ecwid, the stock is automatically updated in Vend.
If you enabled the "Post Ecwid sales to Vend" option in the settings, Ecwid will send the new order to Vend. The order must have the “Paid” status to be synced and appear in Vend. The stock for the orders that don’t have the “Paid” status in Ecwid is not updated in Vend.
The tags that a product has in Vend are converted into Ecwid categories after import. If there is already such a category in Ecwid, the product is placed there. If there is no such category in Ecwid, the category is created.
If you later add a tag to a synced product in Vend, it will not be synced, and this category won’t automatically appear in Ecwid. If you simply create a tag in Vend, it will not automatically appear in Ecwid.
The categories that a product has in Ecwid are converted into Vend tags after import (the limit is 75 categories per product). If you later add a category for a synced product in Ecwid, the tag is not added in Vend.

Pricing and features

The subscription costs and available features depend on how you've created your Ecwid account and on what plans you are using both in Vend and in Ecwid. The total price will consist of the cost of your plan in Ecwid plus the cost of your plan in Vend.

There are plan limitations on both sides for the integration to work.

In Vend, Ecwid ecommerce integration is available on Pro and Enterprise plans.

Both plans have an unlimited amount of products and users.

In Ecwid, the price depends on the registration process you used:

  • For Vend users who registered a new Ecwid account via Vend Dashboard using the link on Ecwid’s landing page, the integration is available on a special Business + POS plan (it is an edition of Ecwid’s Business plan that supports POS functionality and costs $49/month or $500/year). It is also available on the Unlimited plan.
    Please note that the Business plan in Ecwid has a limitation of 2500 products and only 2 staff accounts (and some other restrictions).
  • For existing Ecwid users who registered directly, the Business + POS plan is not available, and Ecwid’s Unlimited plan is necessary for Vend integration.

Disconnecting Vend from Ecwid

You can disconnect Vend from Ecwid, if you need. For example, you no longer run a brick-and-mortar store, or you decide to change your business field and stop selling online.

The disconnection process consists of two parts: disconnecting Vend from Ecwid and disconnecting Ecwid from Vend.

To disconnect Vend from Ecwid:

  1. Log in to your Ecwid admin.
  2. From your Ecwid admin, go to Other Channels → Vend.
  3. Click on the arrow next to your store name.
  4. In the dropdown, choose Disconnect Vend:

Your Ecwid account will be disconnected from Vend. The products that you have previously uploaded from Vend will remain on your Ecwid inventory, but the updates will no longer sync. You can delete these products manually.

To disconnect Ecwid from Vend:

  1. Log in to your Vend account.
  2. In the side menu, navigate to Setup → Apps.
  3. In the My Apps list, find the Ecwid Cart extension and click on the trash bin icon next to it.
  4. Click Disconnect Ecwid Cart:

Your Vend account will be disconnected from Ecwid. The products that you have previously uploaded from Ecwid will remain on your Vend inventory, but updates will no longer sync. You can delete these products manually.

You can link your Ecwid store with your Vend account again in the future, but you will need to connect and set up the integration again from scratch.
